BIP - information for students


As a student at THWS, you have the opportunity to participate in a Blended Intensive Programme as part of a course.

If the in-person phase of your BIP takes place at an Erasmus+ partner university, you may be eligible for financial support from Erasmus+ during your time at the partner institution through HSIN.

To access the Erasmus+ funding, several steps are required before, during, and after your mobility abroad, which you can read about in the following sections.

Possible Top Ups (additional funding opportunities) for students:

  • Fewer Opportunities*: a one-time 100 EUR grant (stays up to 14 days) OR a one-time 150 EUR grant (stays of 15 days or more) + travel cost support depending on the distance travelled
  • Green Travel:  a one-time 50 EUR grant + up to 4 additional days based on the duration of travel

 *Erasmus+ mobility grants are subject to the availability of the corresponding THWS budget. BIPs in the summer semester 2024 are funded from the 2022 project, BIPs in the winter semester 2024/25 are funded from the 2023 project.

1. Funding for travel days

The Erasmus+ mobility grant is calculated to the day and takes into account the days on which you are required to be present at the host institution. Days spent purely travelling are not usually included. If, for reasons of programme scheduling, you are travelling for additional days for your stay abroad for which you require financial support, you can apply to the International Office for funding for up to two additional (travel) days (e.g. if you have to arrive one day before the start of the programme or can only leave one day after the end of the programme).

If you require funding for additional days to cover your costs, please report this via the Declaration on Honour for Travel Days / Green Travel. This must be signed and submitted with the MoveON application to the International Office.


2. Green Travel

Student mobility can be made low-emission, especially within Europe - why not take the train, carpool or bus instead of the plane if possible? The journey to the stay abroad is part of the experience, makes the departure feel real.

The Erasmus+ programme promotes green travel in particular. "Green travel" refers to trips where low-emission means of transport such as bus, train or carpooling are used for the majority of the journey.

Your journey will be low-emission?

Then you have the opportunity for a „Green Travel" top up as part of your Erasmus+ funding. This includes the possibility of a one-off grant of EUR 50 and funding for up to 4 (travel) days in addition to the regular Erasmus+ funding.

The additional financial support for sustainable travel is covered by the Erasmus+ grant agreement. All details on the amount of the grant and the criteria for qualification are explained in the Declaration on Honour for Travel Days / Green Travel. The document must be completed, signed and submitted with the MoveON application if you are interested in applying for the top up.

Fewer Opportunities“ – Erasmus+ for inclusion und diversity

For study-related stays abroad of students with "Fewer Opportunities" there will be the possibility to receive a "Fewer Opportunities" top up starting in winter semester 2022/23 under certain conditions. This additional funding opportunity is offered by the THWS International Office in addition to the regular Erasmus+ monthly grant for student mobility.

- First-time students 

- Employed students

- Students with child(ren) during international mobility

- Students with disabilities or chronic illnesses

For explanation of each target group, the exact requirements for receiving the top up, and the funding amount, please check the Declaration on Honour "Fewer Opportunities" for details. The document represents at the same time the application for the granting of the Top Up as well as a contractual annex of the Erasmus+ grant agreements.

If you are interested in applying for the top up, the Declaration on Honour must be completed, signed and submitted by e-mail to the THWS International Office no later than December 01 for mobilities in the following summer semester and no later than July 01 for mobilities in the following winter semester.

The Learning Agreement is

- the agreement between the exchange students, the home university and the host university that lists all courses that students will complete at the partner university,

- therefore a prerequisite for the recognition of examination credits from the semester abroad,

- elementary component of the Erasmus+ grant agreement!

The Learning Agreement always consists of a first part, which must be submitted before the stay abroad. If changes occur during the stay, a second version ("Changes to the Agreement") must also be prepared and approved.

For semesters abroad within the Erasmus+ programme countries ("Studies EU"), from winter semester 22/23 on, students will use the digital Learning Agreement (DiLA). For this purpose, students will receive an e-mail request to initiate the digital Learning Agreement via the MoveON portal, where during the preparations for their semester abroad, students already applied for the semester abroad at HSIN. Only after receiving this e-mail, the option for “digital learning Agreement” will be activated in the MoveON portal.

Students can find all details on how to proceed after receiving the e-mail request in the manual for creating the digital Learning Agreement in MoveON. The document will guide you through the process of creating the digital Learning Agreement step by step.

In individual cases, the technical requirements at the partner university might not yet be ready for a Digital Learning Agreement (DiLA). In this case, your HSIN contact person will inform you about completing a Word template of the Learning Agreement.”

When the selection criteria set by your faculty are met, you can be funded through Erasmus+, if the programme requirements are met and funds are available.

  1. Application within the faculty: Refer to your faculty's website or consult the international affairs officer of your faculties to explore Blended Intensive Programs in which your faculty is involved and go through the internal faculty application process. 
  2. Post faculty selection: Present the completed and signed acceptance statement to the international relations officer of your faculty for their signature.
  3. The instructor overseeing the BIP at THWS will register your participation request with HSIN. This step is mandatory for your involvement in a BIP.
  4. Application via the International Office: Apply through the MoveON portal. Upload the following documents:
  • The signed acceptance statement
  • Your current enrollment certificate in PDF format
  • If applicable, the completed and signed declaration for "Fewer Opportunities" including relevant evidence 
  • If applicable, the completed and signed declaration for Travel Days / Green Travel including relevant evidence

  1. After these steps, the International Office will nominate you at the partner university. The host university will then reach out to provide you with necessary information for your personal registration. Subsequently, you must independently register for the BIP at the partner university. Please note that both we and the partner university will primarily contact you through your THWS student email address. Regularly check your inbox or set up appropriate forwarding.
  2. After a successful application at the partner university, send a confirmation of acceptance or invitation from the host university to the respective contact person at HSIN.
  3. You will receive an email prompting the initiation of the digital Learning Agreement via the MoveON portal, where the initial BIP registration at HSIN took place. The access to the MoveON portal is enabled only after receiving this email.
  4. Detailed instructions for creating the digital Learning Agreement in MoveON will be provided to students upon receiving the email prompt. This guide will walk you through the steps of agreement creation.
  5. The document must be created by you before the start of the in-person phase and digitally approved and signed by the home university (THWS) and your host university. This document is crucial for all exchange students to facilitate the accreditation of exams taken abroad. Additionally, the Learning Agreement is an essential part of your Erasmus+ grant agreement!
  6. Please send proof of health insurance coverage (e.g., a copy of the insurance certificate) in PDF format to the designated contact person at HSIN.
  7. You will receive an Erasmus+ Grant Agreement, the funding agreement under the Erasmus+ program, in duplicate from the International Office. This document outlines all conditions for the study abroad and specifies the amount of the Erasmus+ funding. Please carefully review the document.
  8. Upon signing the Grant Agreement, send one copy back to HSIN by post. Only then will the funding be transferred to your account.
  9. Remember to re-register at THWS. If you are no longer enrolled, you will lose your student status, and financial support will no longer be possible. Any disbursed funds must be repaid in this case.

Confirmation of Stay: Upon arrival at the partner university, have the local International Office confirm your participation in the BIP with the Confirmation of Stay. Send the document via email to the designated contact person at the International Office of THWS.

  1. All participants in the Erasmus+ program are required to take part in the EU-Survey, an evaluation conducted by the European Commission to assess the study abroad experience, through the Beneficiary Module (BM). At the end of your semester abroad, you will receive an email from BM containing a link and a request to participate in the online survey within 30 days. We kindly ask you to complete this survey conscientiously.
  2. Upon completion of your study abroad period, please promptly email the following documents to the designated contact person at HSIN:

Submission of these documents is mandatory for Erasmus+ funding.

  1. Additionally, following the conclusion of the BIP, please promptly submit your formal application for the recognition of the credits earned abroad to your examination committee and the Department of Student Affairs.
