After Your Arrival at THWS
After your arrival at THWS, you should take care of the following formalities as soon as possible:
Step 1) Contacting the health insurance provider
- Upon their arrival in Germany, international students should immediately contact their health insurance provider. It is important that they provide their German address. Timely notification of the current address to the health insurance provider is crucial to ensure the receipt of insurance documents (e.g., the insurance card) and other communications.
- Additionally, international students should send their enrollment certificate to the health insurance provider via email.
- Health insurance companies often also require a photo for the insurance card.
- If students have any questions about health insurance, they should not hesitate to contact the customer service of their insurance provider.

Step 2) Registration at Registration Office
After your arrival at THWS, you have to register your address at the Registration Office in the City Hall in your city of stay within 14 days. This applies for EU citizens and non-EU citizens.
For address registratioin in Würzburg: You can make an online appointment on the web page of the City Hall Würzburg.
For address registration in Schweinfurt, you should make first an appointment by email at the Foreigners office in Schweinfurt: auslaenderangelegenheiten[at]schweinfurt.de.
You need these documents for registration at the registration office in Würzburg:
- Valid passport or ID card
- Landlord/lady's confirmation of residence (Wohnungsgeberbescheinigung) signed by the landlord/lady or student residence. You can get it from the landlord/lady or the student residence.
- Rental contract (not crucial, you should hand in to be on the safe side)
- For € 30 refund of semester fee: Enrolment certificate from THWS (You can print it from the CampusPortal - you can hand it in later)

You need these documents for registration in Schweinfurt:
Please note: International students (EU citizens and non-EU citizens) living in Schweinfurt must visit the Foreigners’ Office (Department for Staatsangehörigkeits- und Ausländerangelegenheiten -nationality issues and foreigners affairs) before they can register at the Registration Office. There, they will receive a stamp on their registration form, which they can take to the registration office.
Documents for registration at the Registration Office and the Foreigners’ Office (concerns EU citizens)
- Valid passport or ID card
- Landlord/lady's confirmation of residence (Wohnungsgeberbescheinigung) signed by the landlord/lady or student residence. You can get it from the landlord/lady or the student residence
- Fully filled registration form Meldebogen (available at the Registration Office or Foreigners‘ Office or as a download at the website - Please search for letter A /“Anmeldeformular“ and download the form)
- Enrolment certificate from THWS (You can print it from the CampusPortal)
Registration at the Registration Office and application for residence permit at the Foreigners’ Office (concerns non-EU citizens)
- Valid passport
- Latest residence permit and additional sheet (concerns only students who are already staying in Germany)
- Landlord/lady's confirmation of residence (Wohnungsgeberbescheinigung) signed by the landlord/lady or student residence. You can get it from the landlord/lady or the student residence
- Rental contract
- Fully filled registration form Meldebogen (available at the Registration Office or Foreigners‘ Office or on)
- Biometric photo
- Filled and signed application for residence permit (available at the Foreigners‘ Office)
- Enrolment certificate from THWS (Can be printed from the CampusPortal)
- Proof of financial resources (blocked account, scholarship, or declaration of commitment)
- Proof of a valid health insurance
- A health insurance card is not enough proof! You need a current confirmation from the health insurance company on paper!
Important: The application for residence permit must be handed in to the Foreigners’ Office approximately two months before expiration of the entry visa. Missing documents for the application can be handed in later BUT your application will be proces onyl after the complete submition of all documents. This means, that a delay from your side will lead to prolongation of the whole process. A belated application counts as an administrative offence and can result in a fine.

Step 3) Opening a bank account/activating a blocked account
Giro account: International students at THWS should open a bank account in Germany. You need the bank account for transferring the semester contribution fee, as well as for the SEPA mandate at the student residence. You can withdraw cash for free on most ATMs.
Blocked account: If you have applied for a visa for Germany, you might had to open a blocked account. After your arrival in Germany, you must activate the blocked account.
How can you activate a blocked account at Deutsche Bank?
- After registration at the Registration Office, you will receive a confirmation, which copy you must send to Deutsche Bank. On the Deutsche Bank website, you can download the activation form:
https://www.deutsche-bank.de/pk/konto-und-karte/konten-im-ueberblick/internationale-studenten1.html?tp=forms - Please fill out the form only on a computer, print it out, sign it, and send it to Deutsche Bank in Hamburg together with the copy of the confirmation of registration at the Registration Office and a copy of your passport.
How can you activate a blocked account at Fintiba?
Step 4) Residence permit (concerns only non-EU citizens)
Students from non-EU countries have to apply for a residence permit at the Foreigner’s Office in the city they registered. This only applies if they have received a visa for Germany which is not valid for the whole duration of their study stay.
You need these documents for registration at the registration office in Würzburg:
- Valid passport or ID card
- Biometric photo (You can take it at the Bürgerbüro [Speed Capture, fee: € 7. Please take the photo on the day of your appointment], together with the fingerprints and your signature)
- Filled and signed application form for residence permit (you will receive the application form at the Foreigners’ Office) Please visit the Foreigners‘ Office Würzburg approx. two months before expiration of your visa/residence permit to receive the application form and to make an appointment for application.
- Certificate of enrolment from THWS (Can be printed from the CampusPortal. The student ID card is not sufficient)
- Confirmation of registration at Registration Office
- Rental contract (if you live in a dorm at the student residence)
- Proof of financial resources (blocked account, scholarship, or declaration of commitment)
- Proof of a valid health insurance
- Please visit the Foreigners‘ Office only after you have received proof of a valid health insurance from a German public health insurance company!
- If you are insured with a public German insurance company, a copy of your insurance card is sufficient. In all other cases, a health insurance card is not enough proof. You need a current confirmation from the health insurance company on paper!

Step 5) Study course guidance
On the first day of the semester, each faculty offers an introductory session on study course guidance for first-semester students. It is very importnat to attend this session becuase students receive information concerning:
- Study structure,
- Exam period and examination deadlines
Information about the day, time and room of each study introcution session is published on teh web page of each study programme.
Step 6) Learning Agreement (concerns only exchange students)
All exchange students must fill out a Learning Agreement, before or during the semester. It determines which courses you take during your time at THWS. The courses are determined during the study course guidance. The International Office will provide information about the Learning Agreement before semester start.
